Buy wholesale goods and business supplies with clear terms
A bulk purchase creates different risks from buying a single item. Small differences in specification, packaging or quantity can affect the entire order. Start with a written purchase brief and check the supplier’s ability to provide the exact goods and delivery arrangement you need.
Specify the order precisely
Record the product specification, quantity, units, packaging, acceptable tolerances and whether a sample is needed. Agree whether the quote includes transport and other charges. Do not let a sample stand in for a clear description of the bulk order, and confirm how substitutions or unavailable stock will be handled.

Agree staged evidence for larger orders
A large or custom order may need defined production, dispatch and delivery milestones. Decide which documents and inspections demonstrate each stage. A supplier’s photograph of stacked goods does not prove the right goods have been delivered to you. Keep evidence tied to your own transaction and agreed specification.
Check delivery and shortages
Record the delivery location, authorised receiver and the process for noting damage, missing quantities or non-conforming goods. Agree the inspection window, return arrangements and any replacement terms. Use a qualified inspector where the nature or value of the goods calls for one.
Build an accurate supplier listing
Suppliers should state genuine stock or lead times, minimum order quantities, service area and pricing basis. Use actual product information and permissioned images. Confirm the details of each order before funding; public listing prices and availability can change and do not replace a completed agreement.
